Who we are

Bicaption (bicaption.com) is operated by Grace Orbit, LLC ("we", "us"). This policy explains what we collect when you use Bicaption, why, and the choices you have. Questions or requests: hello@bicaption.com.

What we collect

Account data: your name and email address, provided when you sign up with email or through Google sign-in.

Meeting content — as text only: the bilingual transcript, summary, topics, and action items of meetings you host, saved to your meeting history.

Usage and billing data: metered minutes, your plan, and invoice history. Payments are handled by Stripe; your card details never touch our servers.

Technical data: a session cookie to keep you signed in, a locale cookie to remember your language, and a Cloudflare Turnstile check to keep bots out. We do not use advertising trackers.

Audio is never stored

Meeting sound is streamed for speech recognition and translation, then discarded. We keep no audio recordings — what persists is text: the transcript and notes described above, which stay in your meeting history until you delete them.

How we use your data

To run the service: producing live captions and translations, keeping your meeting history, metering usage, and billing.

To send transactional email: meeting summaries, receipts, and account notices. We do not send marketing email without your consent.

To keep the service safe: abuse prevention and rate limiting.

We do not sell your data, show ads, or use your meeting content to train AI models.

Service providers

We rely on a small set of providers, each processing only what its job requires: Cloudflare (hosting, storage, bot protection), OpenRouter (routes audio and text to AI model providers for transcription and translation), Stripe (payments), Resend (transactional email), and Google (optional sign-in).

Viewers

People who watch captions through a meeting link do not need an account, and we do not collect their identity. A viewer’s language choice is stored in their own browser.

Retention and deletion

Meeting history is kept until you delete it — per meeting, or entirely by deleting your account. Deleting your account removes your account data and meeting history; invoices and records we must keep for tax or accounting law are retained for the legally required period.

Your rights

You can access and export your data (transcripts and notes export as PDF, Markdown, or SRT), correct your account details, or delete your data at any time. For anything you cannot do in the app, email hello@bicaption.com and we will help. Depending on where you live, you may have additional statutory rights (such as under the GDPR or CCPA); we honor such requests regardless of location.

Security

All traffic is encrypted in transit (TLS); data at rest lives on Cloudflare infrastructure with encryption at rest. Access to production data is limited to what operating the service requires.

Children

Bicaption is not directed to children under 13, and we do not knowingly collect their data.

Changes to this policy

We will post any changes on this page and update the date above. For material changes we will notify account holders by email.
